Job Title: Administrative Assistant for Care Ministry Team
Reports To: Lead Pastor
Effective Date: August 4, 2022


This multi-department Administrative Assistant is the direct assistant to the Care Ministry Team to accomplish goals, strategies, and everyday processes for the various ministries that come under this department including volunteers.

This position is a part time, 29 hour a week position.

Duties and Responsibilities

The following list of duties and responsibilities is intended to serve as a general guide to what is expected of an Administrative Assistant.

  • Answer and route phone calls and messages as appropriate
  • Schedule appointments and meetings
  • Set up, organize, and maintain all department files
  • Manage the pastor/director calendar
  • Take minutes at meetings as required, transcribe, and distribute as requested
  • Perform necessary preparations for upcoming events
  • Generate and submit classroom reservations for meetings and events through CCB
  • Assist in the development of brochures, posters, and flyers
  • Reconcile your assigned credit card statement monthly
  • Understand and follow accounting processes to collect, record, and deposit all incoming money
  • Understand and process check requests, invoices, and internal account transfers
  • Track and maintain departmental budget
  • Abide by the Timberline Church Staff Covenants and Employee Handbook
  • In the spirit of continuous improvement and serving one another, you may be asked to assist with interim duties or other duties as assigned 

Meetings to be involved in

  • Attend weekly Chapel on designated day.

Assisting Volunteers

  • Become a point of contact for any volunteer leader; including directors, coordinators, leaders, ministry assistants, and other volunteers that may require assistance.


  • Strong computer skills
  • Proficiency in Microsoft software (Outlook, Word, Excel, Publisher) and Church Community Builder (CCB)
  • Excellent written and verbal communication skills
  • Confident, articulate, and professional communication skills 

Education and Experience

  • High School diploma or GED
  • One year of relevant experience preferred 

This position is a part time, 29 hour a week position. 
Salary range for this position is $14 to $17 hourly.
